If you are planning on hosting your own business conference, and you’re worried this could be the case at you event, you will to take the required steps to ensure everyone has a positive experience and can come away from the event with some valuable new connections.
The biggest barrier to meeting new people is not knowing who to approach. A fantastic way to overcome this by assigning your speakers, delegates and staff different coloured name tags, this is great for keeping track of the numbers at your event but it is great to help people connect with people who are in the same position as themselves. Speakers will appreciate being able to know who else is speaking on their panel, or delegates might find it easier to track down the speaker after a keynote if they are wearing a specific colour.
Have a Range of Events
Although your keynote lectures and roundtables are important, you should also make sure the conference venue has a space for a breakout event which can be an opportunity to play around with a new piece of technology, or host mini masterclasses. These smaller events will give attendees the chance to speak to each other and have some fun. The key thing to remember if you're providing food, is that it should always be in a buffet format as this allows attendees to have a chance to chat in an informal setting.
When holding a conference, it can sometime be difficult for the attendees to constantly think of different conversation topics. As a way to overcome this, you can set out a number of ‘hot topics’ and mention them in the invitation to the event. These can be topics which are related to the industry you are working in, and it gives an instant ice-breaker if someone is not sure how to approach another attendee.
Provide an Attendees List
This is arguably the easiest way to ensure there is plenty of mingling going on the conference floor. This is because an attendees list can make it substantially easier for people to identify who they want to meet during the conference. You can either have this available for download on the day or an alternative is to create a mobile app which contains all relevant information, and a list of the attendees which is only available whilst the conference is taking place.
